General Procedures
EVENT DEFINITIONS:
One performance shall not exceed a maximum period of six(6) hours, ending no later than 12 midnight. One event day shall not exceed a period of (8) eight hours: including move in and move out time. Time used after contracted limits shall be $50.00 per hour, plus applicable personnel fees. Rates are based on a "four wall" policy and include normal janitorial service, heat/air, lighting, and water. These rates do not include special personnel or equipment.
RESERVATIONS OF FACILITIES
Theatre Dublin will tentatively reserve dates for a period of up to seven (7) days. At the time, the tenant must either conform the date with a deposit and signed contract or the date is released. A date is not considered confirmed until the tenant has submitted the required deposit of $150.00 and returned the signed contract to Theatre Dublin Office. Deposits for dates are not refundable unless the date can be re-booked t another tenant and cancellation is given at least 60 days prior to event date. THE LESSEE CAN NOT WAIT UNTIL THE EVENT DATE TO PAY RENTAL FEES, NO EXCEPTIONS..
DEPOSITS AND RENTAL PAYMENTS
A deposit of $150.00 is required at the time a lease is executed. An additional deposit may be required for anticipated advance expenditures. The balance of the rental fee and any additional expenses is due and payable in the Theatre Office by noon of the first day of the event or Friday before 5 pm for weekend events. Theatre Dublin maintains a booking calendar capable of two (2) years in advance and rotates out December 1st of the current year. Theatre Dublin books on a first come come serve basis and is not responsible for the rollover of any event that are held annually. Theatre Dublin is not responsible for remembering dates. A $300.00 clean-up/security deposit is required before the usage of the facility is allowed. The deposit will be refunded if the Theatre is left in the same condition when occupied.
METHODS OF PAYMENT
Cashiers Checks, Money Order, NO OUT OF TOWN/STATE CHECKS are accepted.
INSURANCE
Public liability insurance in the amount of $100,000 for injuries sustained by one person, $300,000 for injuries to (2) two or more persons, and $50,000 for property damage coverage each occurrence, naming City of Dublin, a municipal corporation, as additional insured must be provided by the Lessee. Insurance must cover all move in and move out dates.
EQUIPMENT:
General use of theater equipment by the Lessee is included in the base rental and use must be indicated on the contract. Batteries are not provided for wireless microphones 2(9 volt) 4AA batteries or any other such equipment.
Additional equipment needed (i.e. sound and/or lighting specialties, risers, more tables/chairs, etc.) must be provided at the expense of the Lessee.
Changing of music, sound and/or lighting and use of floor monitors and etc. during a performance requires an approved sound and/or lighting technician. Theatre Dublin does not accept responsibility for securing or paying sound and/or lighting technicians when required.
LESSEES MUST CHOOSE FROM THE APPROVED SOUND AND LIGHTING TECHNICIANS LISTED ON THE CONTRACT AND NOTIFY THE DIRECTOR AS TO THE ONE WHO HAS ACCEPTED PRIOR TO THE EVENT DATE.
LESSEES CAN NOT OPERATE SOUND OR LIGHTING, DESIGNATE ANYONE TO DO SO OR REMOVE/CHANGE ANY EQUIPMENT OR LIGHTING FIXTURES. ONLY THE THEATRE APPROVED SOUND & LIGHTING TECHNICIANS ARE ALLOWED UPSTAIRS.
Tables and chairs are limited in number and are available upon request at no extra charge. However, it is the responsibility of the Lessee to set them up. These must be put back in place immediately after the event by the Lessee.
GENERAL BUILDING POLICIES:
1. Theatre Dublin is a NON-SMOKING facility, therefore, smoking will not be allowed in any area. It is the responsibility of the Lessee to enforce this policy.
2. City ordinance prohibits alcoholic beverages in any form in or around the premises. NO EXCEPTION!
3. Food and beverage may be served in the lobby area only. NO food or drink is allowed in the theatre portion of the facility. No items containing gum may be sold at any time. It is the responsibility of the Lessee to enforce this policy. Failure to do so constitutes loss of clean-up/ damage deposit. The Lessee is responsible for applicable business licenses and taxes related to concession sales.
4. Fog machine use must be prior approved due to its potential to set off the fire alarm causing panic. It also shuts down the heating/air conditioning system. If approved, a “Material Safety Data” sheet to confirm that information.
5. Animals and pets are NOT permitted in the building except in conjunction with an approved performance legitimately requiring use of animals. EXCEPTION: SEEING-EYE DOGS.
6. Decorations must not be attached to any surface without prior approval.
7. Theatre Dublin permanent graphics, signs or displays may not be visibly blocked in any manner nor may temporary signs and decorations be attached to permanent building graphics including portraits.
8.. DO NOT MOVE OR REMOVE THE PORTRAITS OR THE SOFA TABLE UNDERNEATH THEM. DO NOT PLACE ANYTHING ON THE SOFA TABLE NO EXCEPTIONS!! Planters and furniture (sofas & chairs) in public area may not be removed or repositioned without prior approval.
9. The stage has a new vinyl tile floor. Props, equipment and any other items cannot be dragged across the floor. Such things must be picked up and toted and put in place. The floor cannot be marked in any fashion such as painting, duct tape or the like. There is a special tape available that can be purchased and this will be the only approved item to be used. (If used it is the responsibility of the Lessee to remove it immediately after the event. Contact management if you are in need of using it. Failure to do so constitutes damage to the facility.
10. Damage to Theatre Dublin’s property and/or equipment shall be the responsibility of the Lessee and/or the person or organization causing such damage. Event management is invited to inspect areas prior to move-in and move-out. Damages should be reported immediately to Theatre Dublin/DLCRA personnel.
11. Banners, overhead signs and special decorations may not be hung form the theatre ceiling or walls without the approval for Theatre Dublin/DLCRA.
12. House lighting, ventilation, heat or air conditioning will be provided as required during opening show times. Energy conservation is of prime concern and minimal light and comfort levels will be maintained during move-in and move-out periods.
13. Lessees, performers, patrons and the like are restricted to ground floor areas. Sound and or lighting technicians, maintenance workers and Theatre Dublin/DLCRA employees ONLY are allowed in “Authorized Personnel ONLY” areas. NO EXCEPTIONS!
14. No equipment, props, etc. can be left on the stage or in the loading/unloading area. Theatre Dublin accepts very little “donated props” due to no storage space. Such intentions would have to be approved by the Director prior to any action. NO EXCEPTIONS!
15. No “on site” construction will be allowed.
SECURITY:
The lessee shall be responsible for all actions of performances and patrons while using Theatre Dublin inside and outside..
Lessee is responsible for complete security within the Theatre, lobby and parking lot and all other areas specifically leased (DLCRA office, etc) from the time initial occupancy until completion of move-out. Lessee cannot leave the facility until all patrons, performers and etc. have left the facility and the opening person given this approval. Any and all security breach incidents that occur endanger the Lessee’s ability to lease Theatre Dublin for future events, regardless if security is present. Such security, when required, will be at the expense of the Lessee.
Theatre Dublin reserves the right to determine when additional security (in the form of uniformed off-duty police and/or deputy officers) is required. That determination will be based upon performances with increased likeness of the audience or outside patrons becoming involved in an unruly manner (i.e. tickets sell-outs, controversial speakers/performers, high profile concerts, talent shows, band battles and etc.
Theatre Dublin must be informed of and approve all security arrangements. Security officer’s acceptance of working the event must be in writing complete with a telephone number where he/she can be reached.
Theatre Dublin areas identified as “Authorized Personnel Only” are restricted to permanent Theater Dublin employees.
Exit doors are not to be propped open at any time.
Lewd and abusive language, threats, assault, vandalism, theft and all other inappropriate actions will result in immediate removal form the premises and prosecution if appropriate.
No soliciting is permitted in Theatre Dublin.
Safety of all occupants of Theatre Dublin is of utmost concern. Any and all unsafe conditions or activities will be brought to the attention of the responsible parties and corrective measures are to be made immediately in order for the event to continue.
HAZARDOUS WORK AREA: (Loading dock areas)
Absolutely no drinking of alcoholic beverages is allowed, nor anyone under the influence of alcohol or controlled substances is allowed to work in this area.
Event management and all involved parties must comply with all Federal, state and Municipal fire codes which apply to places of public assembly. Sections of the Life Safety Code Book which are pertinent to places of public assembly shall be considered a part of all Lessees, whether specifically referenced or not.
All materials that are not a part of the facility such as drapes, curtains, carpet or any materials used in performances must be flame retardant. All such materials are subject to inspection and flame testing by the Fire Marshall.
Fire fighting and emergency equipment may not be hidden or obstructed, including fire extinguishers, fire hose cabinets and fire alarm pull stations.
Crates or event equipment may not be stored in service areas. Crate storage is the responsibility of the Lessee.
All electrical equipment must be UL approved and all gasoline engines must be AGA approved.
All emergency exits, hallways and aisles leading from the building are to be kept cleat and unobstructed. Vehicles blocking the exits, etc will be moved at owner’s expense.
MISCELLANEOUS:
